Administrative assistant

JOb Description

Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

Duties & Responsibilities

  • Assists the CEO and Executives by performing secretarial and minor executive duties and extra projects as assigned
  • Answers the telephone, screens and fields calls, taking messages for the CEO as needed
  • Handles all correspondence directed to the CEO and other Executives
  • Creates and maintains administrative files
  • Answers routine correspondence on own initiative
  • Interacts with all levels as a source of information and coordination
  • Coordinate scheduling, presentations, and meetings
  • Updates and maintains corporate documents and files
  • Monitors and orders supplies to be used by Administration personnel
  • Assists Executives in an administrative capacity, providing information and/or administrative services, such as typing documents, as requested
  • Operates PC, performing typing duties


  • High school diploma or equivalent
  • Associates or bachelor’s degree in Business or related field strongly preferred

 Position continually requires demonstrated poise, tact, discretion, and diplomacy.

  • Must be highly organized, adept at proofreading, and the use of grammar and punctuation
  • Able to effectively manage multiple tasks with efficiency
  • Pleasant phone manner, exceptional communication skills, and an ability to interact with individuals at all levels required

Skills/Job Knowledge

  • Must have advanced knowledge of a variety of computer software applications in word processing, spreadsheets, and presentation software such as Microsoft Word, Excel, PowerPoint and Outlook
